2. What we collect
- Quote and contact requests: your name, company, email address, phone number, the service you are interested in and the project details you give us.
- Newsletter: your email address if you subscribe to project updates and tender news.
- Direct correspondence: anything you send us by email or phone.
- Technical server data: our hosting provider automatically processes standard technical information, such as your IP address, browser type and the date and time of your request, so that it can deliver the website to you securely. We do not use this data to profile you.
We do not use analytics, advertising or tracking tools on this website. We do not knowingly collect special personal information or information about children through this website.
3. Why we use it
- To respond to quote requests and enquiries and to prepare proposals.
- To send project updates and tender news you have asked for.
- To operate the website securely and reliably.
- To meet our legal, regulatory and contractual obligations.
We do not sell your personal information. We do not use it for automated decision-making or profiling.
4. Legal basis and consent
Under section 11 of POPIA we process personal information on the following grounds:
- with your consent (newsletter sign-up);
- where it is needed to take steps at your request to conclude a contract (quote requests);
- to meet a legal obligation; or
- for our legitimate interests in responding to business enquiries and keeping the website secure.
You may withdraw consent at any time. This will not affect processing that took place before you withdrew it. Direct marketing by email is sent only with your consent, in line with section 69 of POPIA, and every message includes a way to opt out.
5. Sharing and cross-border transfers
We share personal information only with:
- Operators who process it on our behalf under written agreements and confidentiality obligations, such as our website hosting provider, our email service provider and Web3Forms (which delivers website form submissions to our inbox); and
- authorities, where the law requires it.
Where an operator stores information on servers outside South Africa, we make sure that the transfer meets section 72 of POPIA. For example, the recipient must be bound by laws, binding corporate rules or agreements that give adequate protection.
6. How long we keep it
- Enquiries and quotes: up to 3 years after our last contact, or longer if a contract follows and the law requires us to keep records (for example, tax and company records).
- Newsletter: until you unsubscribe.
- Technical server logs: kept by our hosting provider for a short period for security and operational purposes only.
When we no longer need information we delete it, destroy it or de-identify it.
7. Security
We take reasonable technical and organisational measures to protect personal information against loss, damage, unauthorised access and unlawful processing. These include encrypted (HTTPS) connections, access controls and confidentiality obligations on staff and operators. If we have reasonable grounds to believe that your information has been compromised, we will notify you and the Information Regulator as section 22 of POPIA requires.
8. Your rights
As a data subject under POPIA you have the right to:
- access the personal information we hold about you;
- request correction of inaccurate or incomplete information;
- request deletion or destruction of information;
- object to processing, including for direct marketing;
- withdraw consent; and
- lodge a complaint with the Information Regulator.

10. Cookies & tracking
This website does not use cookies, analytics, advertising pixels or any other tracking technology, and it stores nothing on your device. There is therefore no cookie banner. If we ever introduce optional cookies, we will update this policy and ask for your consent first.
11. Website forms
When you submit the quote or newsletter form, your details are sent securely (HTTPS) through Web3Forms, a third-party form-delivery service that acts as our operator. Web3Forms forwards the submission to Hlwella’s email inbox. Web3Forms may process and store this data on servers outside South Africa; we rely on section 72 of POPIA for such transfers, as described in section 5. We may update this policy from time to time. When we do, we will post the new version here with a revised effective date. Significant changes will be highlighted on the website.
